The meeting was called to order at 1011 hours by Commodore JD Smith.

Secretary’s report:    Minutes were approved as submitted.

 

Financial report:         Balance sheet and income statement were presented and are part of these minutes.

 

Rear Commodore’s report:  

                                    R/C Jerry Wellnitz announced the following time schedule leading to the determination of the winner of the Horder Trophy:

Mailing of “Thank You” notes to 2001 contributors                   June 2002

Announcement and solicitation of candidates                 August 2002

Members of the PCYA Bridge will participate as members of the selection committee.

 

R/C Wellnitz is anticipating a difficulty in connecting the candidate to its sponsoring organization.  MOTION: by Bill Lewis, Second by Dave MacCulloch to direct the Sec/Treas to get a listing of member clubs and organizations they belong to.  PASSED

 

Vice Commodore’s report:

                                    V/C Marda Phelps announced that the 2003 Barusch/Castagna event will be held at the Seattle Yacht Club on June12 – 15th.  Commodore JD Smith suggested that due to the time lapse since the last running of the Carr Regatta, that it would be appropriate to additionally promote this prestigious event.  Ideas include a listing and article in “The Log” magazine, posters and an upscale race announcement.  MOTION by Sec/Treas Paul Artof to provide an additional $200 for promotion of the Carr Regatta.  PASSED

The V/C announced the January 2003 meeting at the Coronado Yacht Club during the second weekend.

Langlais Trophy:  the V/C sent “Thank You” notes last January to contributing member organizations for their nominations.  Invitations for nominations will be mailed in June 2002.  Copies will be mailed by USPS mail to the Commodore and Secretary of each member organization.  E-mail distribution includes all officers of each member organization.

Commodore Smith will provide the V/C with the names, addresses, phone numbers and e-mail addresses of a qualified list of prospective selection committee members.  Although the Deed of Gift does not call for the V/C to head the committee, it was felt that for the sake of consistency, this is an appropriate position for said officer.  MOTION by Sec/Treas Paul Artof  Second by Jr. S/C Bill Lewis and influenced by S/C Bob Leslie, “The PCYA Vice Commodore and the immediate past recipients will be Co-chairmen and the five most recent available recipients will constitute the selection committee”.  PASSED

 

S/C Leslie reminded the Board of Directors that the recipient should have promoted the sport of boating, not just recognition for doing a lot of work.

 

Nominating Committee:        S/C Bill Lewis announced that the selection committee will be the PCYA Bridge with the Jr. S/C as Chairman.  A letter will be going out next month to our member organizations to solicit a candidate for the 2003 Secretary/Treasurer.  The candidate should be from the San Francisco area.

 

OLD BUSINESS

PCYA Brochure:                    Report by Sec/Treas Paul Artof reveals the prospective printing costs in the $2200.00 - $2500.00 for 100 to 200 copies.  These costs are strictly for printing and not layout and other misc. expenses.              

MOTION by Jr. S/C Bill Lewis, Second by Dave MacCulloch to allocate $2200.00 upfront costs to begin the 80th anniversary edition of the PCYA Brochure.  PASSED.  The Bridge will work together as a committee to complete this task.

The PCYA Bridge will constitute the committee to put this brochure together.

 

Records and Archive:            Jr. S/C Bill Lewis has been in touch with SCYA S/C Jim Clark and is piggy-backing our archive and storage with that of SCYA.  They are currently using the University of California, Irvine’s library for storage.  Bill will report as progress is made.  Bill will also look into the digitalization of our records.  Scanning our records on a CD or DVD.

 

Dues increase:                                   MOTION by Sec/Treas Paul Artof and Second by Jr. S/C Bill Lewis to raise dues from $170.00 to $200.00.  Failed.  We should not raise dues until we provide a greater benefit.

 

NEW BUSINESS:

S/C Bob Leslie recalled that this meeting when it took place years ago had a greater participation and he was disappointed.  We discussed a different time slot on the Barusch/Castagna race weekend and greater communication to our constituency.

 

S/C Joe Castagna pointed out that the log racing activities in the San Francisco Bay area has diminished to the point where if we tried to conduct the Barusch/Castagna event, we would have significant hurdles.  The Board considered the question of a member of the Board coming from the Bay Area and what may happen to our events and what may have to happen to save them.  It was determined that the issue will need to be dealt with in 4 years and hopefully we will have either a solution or the situation will have improved.

 

Website:                                 The cost of the website currently is $50.00 annually and we have this reduced expense since we are part of the SCYA site.  For $250 for the first year and $175 annually, we can have our own domain.  All of the domain names that begin with PCYA are taken and we will need to create a new identity for the web. We now have a counter on our website and over the last two months we had approximately 100 hits.  S/T will refer to our website on our correspondence.

 

Jr. S/C Report:                       Bill Lewis would like a representative at the trophy presentation of the SDYCs running of the Balboa Cup Challenge.  The event is open only to members or representatives of the Pacific Coast Yachting Association.  He will look into our participation and report at the next meeting.

 

Suggested considering additional log racing concept to increase visibility.  One idea was a team log race from Vancouver to San Diego where each area would race to the next area.  Another thought, a log race from somewhere in California and ending at some town in Mexico.  These are considerations for the next meeting.

 

Commodores Comments:      We are having a great year so far and enjoyed a wonderful Log Race.  LBYC did a great job as host.  The Commodore pledged that he would dedicate the remaining part of the year promoting PCYA.
